Viewing the Dashboard
A daily KPI pulse check to clearly understand how to improve the day’s performance. This displays the real-time key metrics and performance indicators, categorized into two tabs (Full and Segment), allowing users to have a quick and clear examination of actual performance.
The KPI table provides a way to measure performance over time.
1. On the Settings Dashboard page, click the “Dashboard” button.

2. The Dashboard page will show the Pulse Check-in “Full” and the “Segment” tab.

3. Click the “SHOW TABLE” button to show the KPI table.

4. KPI figures will be displayed as below image.

5. The KPI table can be viewed depending on the dates that wish to view.

Pulse Check
The Pulse check is categorized into the Full and Segment tabs. The Full tab shows the full present-day figures, and the Segment tab shows the figures from the current time until the end of the operation day.
– This includes booking paid and what has not been paid.
– It counts what’s on the calendar and what’s on the waitlist.
– It is a booking base report and not a sale base report.
1. On the Settings Dashboard page, click the “Dashboard” button.

2. The Dashboard page will show the Pulse Check-in “Full” and the “Segment” tab.

3. The figures in the “Full” tab are the total figures for the whole day.

4. The figures in the “Segment” tab are the total figures from now until the end of the operation day.

Create / Edit a User Management
All spa has two types of user levels; the Manager User and the Spa User. On this page, you can add multiple spa users. You can also edit the user information, activate or deactivate the account.
1. On the Settings Dashboard page, click the “Manage” button for the Spa Management section.

2. Click the “Add User” button to add a new user.

3. Fill in the information in the NEW USER box and click the “Save Changes” button to finish.

4. The existing users will be displayed the same as in the below image. Click the 3 dots to view, edit or delete the existing user profile.

5. The user status can change by clicking the drop-down arrow and clicking the preferred status.

6. Click the “Save Changes” button if you edit the user profile.

Introduction to the Menu Page
The menu setting is where you assign and manage the Spa menu and it has divided into three sections;
Treatments – in this section, you can manage all the spa treatments according to category, price, duration, turnaround time, treatment description, and benefits.
Special offers – this refers to services that are offered at reduced prices that the customer can add on to their existing booking. It mostly lasts for 30min.
Matching – this is a special feature wherein you can match or link the Special offer to a specific treatment. It is easier for the receptionist to upsell appropriate treatment as it is predefined already.
1. On the Settings Dashboard page, scroll down and click the “Manage” button for the spa menu.

2. The treatment details will be displayed the same as in the below image.

3. The Special offers will be displayed the same as the below image.

4. All the treatments with suggested add-on treatments will be displayed in the Matching section.

Create a Room Manually or Import the Room List
All the spa treatment rooms can be managed on the Rooms page. You can manually add and edit the room, add features and choose the type of room. This can also be done by uploading the room list using an excel template.
1. On the Settings Dashboard page, click the “Manage” button for the Spa Rooms section.

2. Click the “Add Room” button to add a new room manually.

3. Fill in the information in the NEW ROOM box. The user can select the type of room by clicking the drop-down arrow.

4. Click the small box for the available features in that room. Then click the “Save Changes” to finish.

5. To upload the room list, you have to fill up the file using the template as the below image.

6. Click the “Upload XLS” button and attached the excel template to upload. You can also download the Spa rooms list in an excel file.

7. The existing rooms will be displayed the same as the below image. Click the 3 dots to manually delete or edit/view the room settings.

Add a Therapist Manually or Import the Therapist List
On this Therapists page, where you can manage all the therapists or staff’s profiles. You can manually add and edit the profile, or upload information using an Excel template.
1. On the Settings Dashboard page, click the “Manage” button for the Spa Therapists section.

2. Click the “Add Therapist” button to add a new therapist manually.

3. Enter the details of the new therapist. The user can select multiple roles.

4. For the “TREATMENT CATEGORIES”, click the drop-down arrow and choose a category. All treatments will show the same as the image below. The user can unclick the boxes if the therapist is not qualified to do a specific treatment within the category.

5. Click the plus “+” symbol to add a new category while clicking the trash symbol will remove the category.
Click the “Save Changes” button to finish.

6. To upload the therapist/staff list, you have to fill up the file using the template as the below image.

7. Click the “Upload XLS” button and attach the excel template to upload. You can also download the therapist list in an Excel file.

8. The existing therapist will be displayed the same as the below image. The user can click the “Show Details” button to view the assigned treatments and rooms for the therapist.

9. Click the 3 dots to delete or edit the therapist’s profile.

Add a Treatment Manually or Import the Treatment List
One of the tabs available on the Menu page is the Treatments tab. Here, you can add, edit, or delete a treatment and manage the details such as category, price, information, benefits, and session time. You can manually add the treatment or upload the information using an excel template.
1. On the Settings Dashboard page, click the “Manage” button for the spa menu.

2. Click the “Add Treatment” button to add a new treatment manually. Take note you are in the “Treatments” tab.

3. Fill in the information needed as displayed in the image below. Benefit 1, 2 & 3 boxes can input a maximum of 30 characters only.

4. Check and click the applicable features. Or simply choose the “Select All” button if all features are available.

5. After room feature selection, all the rooms with the same feature will be displayed, and the user can select which one can be used for the treatment. Click the “Save Changes” button to complete.

6. To upload the treatment list, you have to fill up the file using the template as the below image.

7. Click the “Upload XLS” button and attached the excel template to upload. You can also download the Spa rooms list in an excel file.

8. All the existing treatments will be displayed the same as in the below image. Click the 3 dots to delete or edit/view the treatment setting.

Introduction to Therapist Page
On this Therapists page, you can manage all the therapist or staff’s profiles. You can put the start date, set their roles, and add the schedule. You can manually add and edit the profile, or upload information using an excel template.
Therapist availability for the week is also viewable in a table format.
1. On the Settings Dashboard page, click the “Manage” button for the Spa Therapists section.

2. The list of existing Spa therapists will be displayed with their corresponding roles and start date.

3. Therapist’s Schedule can be arranged on this page. It can be duplicated and viewed by day or weekly.

4. Therapists’ schedules for the current week can be viewed on the Therapist Availability page.

Introduction to Calendar
Clear and comprehensive booking platform that includes incremental revenue drivers.
The calendar page has 3 tabs; Therapist, Room, and the Waitlist tab. Each tab helps the user to view and analyze the therapist and room utilization. Nevertheless, guests on the waitlist can easily convert into real bookings.
1. On the Settings Dashboard page, click the “Calendar” button.

2. The Calendar page or Reservation Calendar is divided into three tabs: Therapist, Room, and Waitlist.
According to the assigned therapist, all the bookings and blocks will be displayed in the Therapist tab.

3. The Therapist and Room tab can be viewed on a daily and a weekly basis by clicking the “Week” or “Day” button.

4. All the bookings and blocks will be displayed in the Room tab according to the assigned room.

5. All the guests on the waitlist can be viewed and managed on this tab.

6. Hotel room occupancy can be recorded by filling the “Occupied Rooms” and the “Total In-House Guests” boxes.

Introduction to Retail page
On this Retail Offering page, you can manage all the retail brands and retail products.
There is a special feature called Treatment Connections wherein the user can connect the retail product to a specific treatment. It is easier for the receptionist to recommend products that are suitable for their treatment.
1. On the Settings Dashboard page, scroll down and click the “Manage” button for the Retail Offerings.

2. Here is the overview of Retail Brands.

3. Below is the overview of the retail products. You can hover over the icons and you will see the product description and what treatment is the product is suitable for.

4. Treatment Connections tab will be displayed the same as the below image. A maximum of 3 products can be associated with every treatment. The treatment information/description is also visible.

How to Set Up a New Brand and a New Product
On the Retail Offering page, you can add the brands and brand products here and manage the details accordingly. You can also edit and delete if necessary. You can manually add the treatment or upload the information using an excel template.
1. On the Settings Dashboard page, scroll down and click the “Manage” button for the Retail Offerings.

2. On the “Retail Brands” tab, click the “Add Retail Brand” button to add a new Brand manually.

3. Fill in the details and choose from the “Types” selection. Click the “Save Changes” button to complete.

4. To edit or delete the brand, click the 3 dots (…) button.

5. To add a new retail item, click the “Retail Products” tab, and then click the “Add Retail Item” button to add it manually.

6. Add the retail products that are being used in the spa and set the price for that retail product. The user can also fill in the description that will also serve as a reminder of the product benefits to the host when selling the item.
Click the “Save Changes” button to complete.

7. After the retail product was created, point the cursor on the comment symbol, and the description will be displayed.

8. To edit or delete the brand, click the 3 dots (…) button.

9. For retail brands and retail products, you can upload the file using an excel template by clicking the “Upload XLS” button.

Link a Product to a Treatment
In the Treatment Connections tab, the user can connect a maximum of 3 retail products to a specific treatment. This means you can choose the products that are suitable or most recommended for the guest to use as home care products.
It is easier for the receptionist to recommend products that are suitable for their treatment.
1. On the Settings Dashboard page, scroll down and click the “Manage” button for the Retail Offerings.

2. Click the “Treatment Connections” tab and the list of existing treatments will be displayed. Click the “Manage” button to connect the retail products to a treatment.

3. Let’s take the Hydra Perfection treatment as an example. Click the drop-down arrows and select the product to connect to the corresponding treatment. Click the “Save Changes” button to complete.

4. After the connection, go back to the “Retail Products” tab. Take notice that there is a check (✓) mark under the “ATTACHED TREATMENTS” column. Point the cursor on the check (✓) and it will display the treatment name connected to the offer.

Link Special Offers to a Treatment
Here we can link or connect the special offers to a specific treatment. We can link a maximum of 3 special offers to each treatment.
1. On the Settings Dashboard page, click the “Manage” button for the spa menu. 
2. Click the “Matching” tab and a list of existing treatments will be displayed. Click the “Manage” button to connect the special offer to a treatment.

3. Let’s take the Hydra Perfection treatment as an example. Click the drop-down arrow for the SPECIAL OFFER box and select the offer to connect to the corresponding treatment.

4. Click the “Save Changes” button to finish the matching.

5. After matching, go back to the Special Offers tab. Take notice that there is a check (✓) mark under the “ATTACHED TREATMENTS” column. Point the cursor on the check (✓) and it will display the treatment name connected to the offer.

Manage Therapist Schedule
On this page where the user can update the schedule of the therapist daily. There is also an option in the system that duplicates the schedule daily, weekly, or on the following month.
1. On the Settings Dashboard page, click the “Manage” button for the Spa Therapists setup item.

2. Click the “Schedule” button.

3. All the therapists’ names will be displayed. Choose the time and click the space under the therapist column and a green box will appear indicating the therapist is available at the chosen time.

4. Point the mouse to the green box and the small line will show at the center bottom. Click and drag till the duty hour of the therapist.

5. You can easily move the block by dragging to another time slot or even dragging it to other therapists to copy the schedule.

6. The time will display as the image below (12:00-8:00). Click the block and click the “Confirm” button to delete it.

7. To duplicate the schedule, go to the top page and click the “Duplicate Calendar” button.

8. Click the drop-down arrow and choose from the selection list.

9. Choose which therapist’s schedule to copy by clicking the small boxes. Then click the “Save Changes” button to finish.

10. Click the “Week” tab to view the schedule for the current week. You can view the previous or next week’s schedule by clicking the “<” and “>” buttons. Empty column means no schedule was arranged on that day.

11. The schedule can export and import the schedule.Click the “Back” button to go back to the Spa Therapists page.

12. Click the “Therapist Availability” to view the therapist schedule for the current week.

13. The “Therapist Availability” for the current week will show in a table format. This table can be exported by clicking the “Export” button. To view the previous or next week’s availability, click the “<” and “>” buttons.

Managing Guest Profile
This feature keeps information on every guest who visited or made any transaction at your spa. Having intact guest data provides insights into their profile type and unique preferences that enable the hotel to provide personalized service.
1. On the Settings Dashboard page, click the “Guests” button. 
2. Click the “Add Guest” button to create a new guest profile.

3. Fill in all the information as shown in the below image. Click the “Save Changes” button to finish and the newly created profile will display first on the list. Click the “Discard” button to cancel.

The user can put all the relevant data like guest preferences or medical issues in the “Special Notes” section.
4. To edit or delete a guest profile, click the 3 dots and the “Actions” box will display. Click the “Save Changes” button after you edit the profile. Please note that once you click the “Delete” button, the system will immediately delete the profile.

5. To merge the guest profile, click the small box that appears before the guest’s name. Then click the “Merge Guests” button.

6. Choose the profile you want to keep by clicking the guest profile. Then click the “Merge Profiles” button to complete.

7. You can view the guest profile on the “Search” bar by guest name, phone number, or email address. Click the “Show Details” to view the last reservation of the guest and the “Full History” if you want to view the complete history.


8. The guest profile can be viewed in the Summary, Completed, Upcoming and Cancelled tab.

Managing Spa Profile Information
This page is where we can fill in the spa information including the business hour. It is a company profile that acts as a window especially when the user handles multiple spa accounts. This page is being set up for a new account, or otherwise, have any changes on the business information.
1. On the Settings Dashboard page, click the “Manage” button for the Business Info section.

2. The “Business Info” page will appear for the user to fill in the boxes. Take notice that you are in the “Step 1 Spa Info” tab as encircled below.

3. You can also Enable and Disable Online booking on this page.

The minimum age for a guest is editable.
4. Scroll down to proceed with the spa hour set up. The operation hours can set up a break by choosing the break start and break end. If you want to remove the break option, just click the X button on the right side. Click the “Save Changes” whenever you do some changes to the operation hours.

Setting Up Taxes
The Tax settings can be found on the Business Info page. The user can set up the tax according to the spa or hotel arrangement by adding a new tax.
1. On the Settings Dashboard page, click the “Manage” button for the Business Info section.

2. The “Business Info” page will appear as displayed in the image below. Scroll down to see the Taxes part.

3. Click the “Other (Add Tax)” option and fill the boxes to create a new Tax. Click the “Save Changes” to finish the setup.

3. Fill in the information needed as displayed in the image below. Check and click the applicable features. Or simply choose the “Select All” button if all features are available.

Confirm Check-In
Guest’s booking is important to confirm the check-in/arrival because it helps the staff to identify and track the bookings. This involves the front desk agent verifying identity, booking numbers, and all information about the reservation.
1. On the Settings Dashboard page, click the “Calendar” button to see the bookings.

2. Find the guest’s name and confirm the booking details. The line in red color indicates the current time. The pink color is the reserved one.

3. Click the “Check In” button to check in the booking.

4. The color of the booking was changed from pink to green color.

How to Convert Guest from the Waitlist
The waitlist can be converted into a booking when the request is available. The criteria are time request, treatment request, room request, and therapist request. Please note that guest confirmation is needed to successfully convert the waitlist into a booking.
1. On the Settings Dashboard page, click the “Calendar” button.

2. Click the “Waitlist” button to see the waiting list.

3. Point the cursor on the comment symbol to show the note (if any). To view the details, click the “Show Details” button.

4. The “Reservation Waitlist” details will display like the image below. Click the “Move to Reservations” button to convert the waitlist into a booking.

5. The system will go to the Reservation page after you clicked the Move the Reservation button. From this page, you can create a new booking and apply if any changes.

Create a Booking
A well-organized reservation system allows users to ensure a steady flow of guests into the property.
1. On the Settings Dashboard page, click the “Calendar” button to make a reservation.

2. Click anywhere on the Reservation calendar and the “NEW RESERVATION” box will appear.

3. Choose the preferred date and time. Click the number “1 or 2” button for the number of guests.

4. Put any related notes in the space provided and click the “Confirm” button when done.

5. Choose the corresponding CATEGORY and TREATMENT by clicking the drop-down arrows.

6. All available rooms will show according to the least utilized room. Click the room to be assigned for the guest.

7. All available therapists will show according to their least utilized hour. Click the therapist to be assigned for the guest.

8. In the Pricing Model part, the user can find the prices and discounts. Prices will show in Regular, Peak, or Off-Peak rates. If it’s complimentary, click the “Make Complimentary” button. Click the “%” or “$” button for a discount. It can be applied by percentage or by amount. Special Offers will also show. Just click the button if the guest will avail of the offer and the price will be automatically added.

9. Click the “Save Treatment Details” to finish or “Discard” to cancel the booking.

10. Click the “Add Treatments” button to book another treatment. Or click the “Next” button to proceed with the booking. Note that the treatment price is summarized at the bottom.

11. Choose the guest’s name on the box. For returning guests, the profile can be searched by Name, Email, or Phone Number. For a new guest, choose the “+ Add New” button and fill in guest details to save the guest profile.

12. The total number of guests will appear on the top. Click the “Next” button to proceed.

13. The system will show Guests and Treatment details. Turnaround times are preset to 15min but the user can prolong or shorten the time. Click the “Confirm” button when details are correct.

14. The booking will show in the Reservation Calendar. Click the booking to see the details.

15. Put the cursor on the button to see any notes.

16. Note the below icons.
The check icon confirms the reservation. Meaning the receptionist provided a reminder call/email/SMS to the guest before the booking and the guest confirmed the booking.

Edit Booking
This function enables the user to edit the reserved booking. Change the treatment, add new treatment, give a discount, change the treatment room or the therapist, add/edit reservation notes, guest name. The user can just simply click on the booking and do necessary changes just like creating a booking.
1. On the Settings Dashboard page, click the “Calendar” button to see the bookings.

2. Find the booking details, then click the booking box and click the “Edit” button.

3. Click the 3 dots as displayed below to edit or delete the booking. While clicking the “Add Treatments” if you want to add another booking and then click the “Next” button.

4. The original booking details will be displayed and you can just edit the information by updating the booking.

5. After you edit the treatment, click the “Save Treatment Details” and the “Next” button to proceed.

6. The booking details will be displayed and if all the information is correct, click the “Confirm” button to finish.

Create an Advance Reservation
This is a direct, online booking capability for every spa Guest.
1. On the Settings Dashboard page, click the “Click to Book” button to make a reservation or Scan the QR code.

2. Fill in the booking details and click the “Confirm” button to proceed.

3. Fill in the information and click the “Save Your Details” button.

4. Confirmation message will pop up as below. You will also receive a confirmation email or SMS.

5. Please note that if your preferred time/therapist/room is not available, click the “Click Here” button on the lower part of the booking. Then fill in your preferred treatment booking details and it will go to the Waitlist. You will be notified when the waitlist will convert to the booking.

How to Add Guest to the Waitlist
It is a record when there are no available therapists or rooms that match the guest’s booking request. This allows you to view the original reservation and move it to a booked reservation status, cancel the reservation based on no availability, or make changes to the reservation details to accommodate the guest.
1. On the Settings Dashboard page, click the “Calendar” button.

2. On the Calendar page, click the “Waitlist” tab then click the “Add Waitlist” button.

3. Fill in the Reservation Waitlist as displayed below.

4. You can add treatment by clicking the “+” button. Or click the delete icon to delete a specific treatment. Click the “Save Changes” button when finished.

5. The “Reservation Waitlist” details will display like the below image. The user can hover on the comment icon and the notes will be displayed.

6. To edit the waitlist, click the 3 dots button. Ensure to click the “Save Changes” button to save the changes.

Guest Check out
Check-out generally refers to the departure of the guest after the treatment and payment settlement. During this period, the user can also recommend a retail brand that is attached to the treatment.
1. On the Reservation Calendar page, click the reservation wish to check out and click the “Check-Out” button.

2. The page will show the reservation details. Click the 3 dots if need to make any changes to the booking. If no changes, the user can proceed to the “Retail Offerings” section.

3. Point the cursor on the comment symbol and the product description will display. To add the retail product to the bill, click the basket button on the right side.

4. Item price will be added as shown below. Click the basket button to add a quantity or remove the item.

5. Click the negative (-) and positive (+) symbols to deduct and add quantity, respectively. To remove an item, click the trash button.

6. To exit the Retail Product part, click the exit button.

7. The summary of payment shows on the bottom page. Click the “Next” button to complete the check-out procedure.

8. Once the booking was checked-out, the booking will be in gray.

How to Create or View the Monthly Reports
The monthly report serves as an important tool for communicating the achievements and ongoing projects. It assesses past performance to understand the reasons behind any instability and estimate the future earning potential of your company. The has a detailed report wherein you can also compare your actual revenue vs the budget revenue.
1. On the Settings Dashboard page, click the “Reports” button.

2. Click the “Monthly Report” button, and then click the “Create monthly report” button for a new report.

3. Fill in the boxes the same as in the below image.

4. Fill in the report and click the “Save” button to finish.

5. Choose the year to select the reports that you wish to view, and then click the “Preview” button.

6. The monthly report will be displayed in the same image as below.

7. Scroll down and you will see the KPI summary report and Commentary box.

KPI Guest
The KPI Guest gives you an insight into the guest quantity, guest type, and guest gender. This information will give you an insight into what and who is your clients, how busy you are during weekdays and weekends, you will have an idea of your guest preferences, and mostly you will get prepared.
1. On the Settings Dashboard page, click the “Reports” button.

2. Click the “KPIs” button and the list of available KPIs will be displayed. Click the “Guests” button.

3. The Guest Quantity will table graph is shown below. You can hover over the graph line and you will see the detailed information.

KPI Retail
To improve your retail selling, you need to determine the metrics to assess your business and that’s KPI retail inter the picture. The KPI Retail provides different table graphs and these key metrics provide an objective measurement of some aspects of your retail performance.
1. On the Settings Dashboard page, click the “Reports” button.

2. Click the “KPIs” button and the list of available KPIs will be displayed. Click the “Retail” button to show the reports.

3. Click the calendar button to choose the preferred date you wish to view, and then click the “Apply Dates” button.

4. The Total Retail Revenue table graph displays the total retail revenue per day. You can hover on the graph line to see the revenue amount.

5. The next table graph is the Brand Revenue. Here you will see the total retail revenue for the day according to brand. You can select the brand by using the “Filter” button.

6. The Revenue By Product calculates the actual retail product revenue.

7. The Retail Ratio Against Treatment Revenue calculates the total retail revenue according to filtered treatments.

KPI Revenue
The KPI Revenue provides the figures for the Spa revenue, per Category revenue, and Treatment revenue. It helps to quickly analyze the current status versus your monthly budget.
1. On the Settings Dashboard page, click the “Reports” button.

2. Click the “KPIs” button and the list of available KPIs will be displayed. Click the “Revenue” button.

3. Click the calendar button to choose the preferred date you wish to view, and then click the “Apply Dates” button.

4. In the Spa revenue graph, you have the option to view the Total Revenue, Treatment revenue, and Retail Revenue. You can hover over the graph line and you will see the detailed information.

5. You can filter the information wishes to view by clicking the “Filter” button. Mark the information that wishes to filter, then click the “Apply Filter” button.

6. Alternatively, you can uncheck the button below the graph table to filter. Take notice that the “Retail Revenue” was unchecked, and also the graph line for retail revenue wasn’t displayed.

7. This is the Category Revenue report. You can filter by category.

8. Treatment Revenue graph can be filtered by treatment. Take notice the chosen treatments are shown at the bottom of the graph.

The KPI Rooms gives you an insight into the average amount of revenue being generated per available room. It can be used to assess how efficient a spa is at making use of the space available.
1. On the Settings Dashboard page, click the “Reports” button.

2. Click the “KPIs” button and the list of available KPIs will be displayed. Click the “Rooms” button to show the reports.

3. Click the calendar button to choose the preferred date you wish to view, and then click the “Apply Dates” button.

4. The Revenue Per Room table graph can be filtered by room. You can hover on the graph line to see the revenue amount of that specific room. Filtered rooms are shown on the bottom as legends.

5. The next table graph is the Spa Hours. Here you can see how many hours does the Spa was utilized and what is the Unutilized hours.

6. The KPI room also provides the Utilized Hours by Category. You can just filter the treatment, and it will calculate the utilized hours as shown below.

7. In the Room Utilization by Treatments, calculates the actual room time used per treatment.

8. The Blocked Hours calculates the actual room time used according to the available filter.
